Followings were discussed. Welcome by Chairman The Chairman of the IEEE Sri Lanka Section, Dr. Sanjeeva Witharana chaired the meeting and the Secretary of IEEE Sri Lanka Section, Dr. Saranga K. Abeygunawardane reported. The chairman welcomed the gathering. First of all, the new Chairman appreciated the service done by the previous Chairman and the other members of the previous EXCOM to the IEEE SL section in 2015. He mentioned that the work done by the previous EXCOM can be set as the baseline and the new EXCOM should aim to progress from there. He mentioned the following goals for the year 2016. To increase the membership by forming student chapters in the Jaffna University, Eastern University and SAITM To organize some revenue generating activities: Eng. Nalin D. Karunasinghe suggested providing the sponsorship of IEEE SL section to the workshop organized by CSE. To spread services: Eng. Nalin D. Karunasinghe and Mr. Subodha Charles mentioned about the problems associated with IEEE webmail service. Eng. Nalin D. Karunasinghe said that the committee should send IEEE SL section emails to all members of the SL section. Mr. Subodha Charles said that IEEE will remove the members who do not renew the membership by the February. He further said that it is important to get the membership data from SAMI IEEE and send personalized emails to members who have not renewed their membership for this year. To improve the industry participation in IEEE activities Confirmation of minutes of the first EXCOM of 2016. The secretary distributed the minutes of the first EXCOM Meeting of 2016. Dr. Sanjeeva Witharana proposed that the minutes were in order and Eng. Nalin Karunasinghe seconded it. Matters arising from minutes Nothing to report. Year Plan-2016 The following annual activities will be organized in this year as well. IEEEXtreme: Mr Subodha Charles mentioned that this will be organized by UCSC and other student branches as usual. The funding will be provided by the lk domain. Student activities: Mr Subodha Charles said that each student branch will organize one activity and invite other student branches to participate in that activity. Dr. S.K. Abeygunawardane will email the EXCOM requesting them to propose more events/activities for 2016. Budget for the year: The Chair mentioned that the previous treasurer should be contacted regarding this. Sub-committees A subcommittee was appointed for registering IEEE SL Section as a company. Dr. Sanjeeva Witharana, Dr. Sampath Kannangara, Dr. Jayathu Samarawickrama, Mr. Vijith S. Seneviratne and Mr. Hasala Dharmawardena were appointed for this subcommittee. Dr. S.K. Abeygunawardane agreed to send the email addresses of the members of the subcommittee to the Chair and the Chair agreed to email the members of the subcommittee regarding this. Any other matters a) Revenue generating activities: The Chair mentioned that the IEEE SL Section currently sponsor two conferences. He proposed to increase this number while maintaining the standard of the conferences at the level required by the IEEE. b) Committee members were assigned for the following positions. The Chair requested them to form sub committees and email the details of the members of subcommittees to the Secretary. o Industrial activities and professional development Chair: Eng. Nalin Karunasinghe o Membership development Chair: Mr. Tharindu De Silva o Student activities Chair: Mr Subodha Charles o Educational activities Chair: Mr. Kavinga Upul Ekanayake c) Mr. Subodha Charles mentioned about the balance amount to be received to the Region 10 Congress account from Sri Lanka section. He requested to send Rs. 81,155 to the R10 Congress account if the SL section account already received 1000 USD form the YP Step fund. d) Transferring signatory power of bank accounts: The Chair requested the secretary to contact the previous secretary and collect the documents required for this. She agreed to do that and provide those documents to the bank. e) Mr. Subodha Charles mentioned that Mr. Pasan Ranathunga and Mr. Ashan Maduranga will be acting as new webmasters of the IEEE SL Section. f) Eng. Nalin Karunasinghe proposed to get online access to bank accounts of IEEE SL Section. g) Electronic system for voting: Eng. Nalin Karunasinghe proposed to call nominations for all positions in the EXCOM and conduct voting through an electronic system. It was decided to contact the webmaster regarding this. h) The committee endorsed the financial co-sponsorship for ICIAfS 2016. Eng. Nalin Karunasinghe proposed to prepare a guideline for sponsoring conferences. i) The Chair said that it is important to collect previous IEEE documents. Dr. S. K. Abeygunawardane said that she received the documents of the year 2015 from the previous secretary. She agreed to create an account in google docs and upload them to it.
