[Legacy Report] IEEE IAS SL Chapter 1st Excom Meeting

The first IAS Sri Lanka chapter general meeting held virtually via google hangouts on 18th feb 2017 at 9pm. Following excom members were present in the event - Chair, Nadarajah Dheynoshan, Secretary, Dilrukshi Gamage, Treasurer, Pamitha Kaluarachchi, Sachinthana Pathirana, Praneeth Nilanga Peiris, Viraj Hewathanthri, Hasala Dharmawardena, Subodha Charles and Peshan Sampath. In absentia, Dilini Weerasinghe, Pasan Pethiyagoda, Tharindu De Silva The Agenda was shared by the chairman previously so the members were prepared to make concerns and/or new proposals. The first item was about the IAS SL chapter constitution. As chairman has shared a drafted version and based on that, members were asked to raise any concern, amendments or new ideas. Dilrukshi raised the concern of selecting the committee members other than the key positions which will be selected based on nominations. She proposed, the excom should have the authority to select the committee members based on a criteria in an excom meeting, rather than selecting during the AGM. Dheynoshan, Pamitha, Hasala, Subodha and Praneeth actively contributed with their reviews, however, finally decided, the committee members will be elected during the AGM by voting and their job description will be given at the first Excom meeting. Other than that Pamitha raised the concern of selecting, changing or termination of members were not included in the constitution. In case of a resign of a member, Hasala proposed to fill the position with an existing excom member where he/she can serve to two positions at the same time. With a fruitful discussion, it was decided to pass the constitution with the amendments. Next item in the agenda was the Bank account and Dheynoshan confirmed he received 500USD chapter establishment grant from the IAS HQ. When deciding which type of account and which bank to consider for IAS SL, Pamitha shared the YP experience of having the account Sampath Bank. Dheynoshan second to that while mentioning Sampath bank is easy since it operates until 10pm. It was decided to open a current account at Sampath Bank Borella Super with the consent of all the members due to the easiness in tracking record and issuing money. Last item in the agenda was to discuss an initial seed proposal of an IoT workshop to organize by Dilrukshi. She briefed the plan, initial budget expectation and possible models of getting it. While admitting the potential of such workshop to the community, Hasala requested an initial draft of the proposed workshop content. Subodha acknowledged confidence of the resource person since he is coming from CMU, yet it was discussed that the content and the delivery of the workshop will be important to Sri Lankan content. Once, Dilrukshi shares such content outline along with a proposal, committee will take it to the next level after reviewing it. Finally, in the any matters round, Dilrukshi raised the concern and the need of the qualitative data of IAS membership growth along with strategic plan to increase the growth of the chapter. After several members comments it was pointed that although it was not necessary member growth details in these initial stages, yet Dheynoshan admitted the need of tracking IAS members who take part in sessions where the SL chapter can keep a record to reach them in future for next events. In total, 1hour and 15 mints discussion, the IAS SL chapter concluded and Dheynoshan will call for the next meeting in the month of March.
