Minutes of IEEE EXCO meeting 1 on 27-03-2017 Committee Members Present Dr. TSS Jayawardana Dr. Buddhima Subasinghe Prof. Kithsiri Liyanage Prof. Chandimal Jayawardana Dr. Jeevani Jayasinghe Dr. CVDS Chathuranga Dr. Rasara Samarasinghe Mrs. Dilrukshi Gamage Mr. Dheynoshan Nadarajah Mr. Peshan Sampath Dr. Sanjeewa Witharana (via skype) Dr. Ruwan Ranaweera (via skype) The meeting was started around 2.50pm in the boardroom of Department of Textile and Clothing Technology, University of Moratuwa. Dr. Sanath Jayawardana Chair of IEEE Sri Lanka section welcomed all office bearers to the meeting. The IEEE SL section decided that disbursement of money to the student branches will be handled in two phases. Initially Rs. 15,000/- will be given to all student branches to start activities. The second phase will be on competitive bidding through the proposals submitted by student branches. The deadline for the proposals was decided as 14 th April 2017 and Student activity chair was requested to convey the message to all student branches. It was decided to disburse $3000 among the student branches inclusive of total student rebate $1667. The following positions were formally filled at the meeting. Educational Activities - Mr. Peshan Sampath Industry Relations Coordinator - Mrs. Dilrukshi gamage Membership Development - Dr. Chathuranga Election Officer - Prof. Janaka Ekanayake Professional Activities - Prof Kithsiri Liyanage Student activities - Mr. Dheynoshan Nadarajah eNotice Coordinator - Dr. Sanath Jayawardana Dr. Venkatesha Prasad’s DLP lecture on IOT will be held at three locations namely University of Peradeniya, University of Ruhuna and University of Moratuwa. It will be free of charge to all the IEEE student members while a nominal fee will be charged from the others to incur the expenses. There will be a session for industry and Mrs . Dilrukshi was nominated to organize the even while Mr. Dheynoshan coordinates with the resource person. Prof Kithsiri Liyanage was appointed as the chair of Humanitarian Technological Conference which will be held in Sri Lanka 2018. Mrs. Dilrukshi was tentatively appointed as the secretary to the conference. The committee will decide an appropriate dates for the conference in 2018. Dr. Jeewani was appointed as the coordinator of Electronic Design Competition 2017. The sponsors request to post an advertisement on the web page bearing EDC information was granted. It was decided to nominate Mrs. Dilrukshi from SL section to participate IEEE Sectional congress in Sydney as nobody else indicated the interest at the meeting to take part in this event. The budgetary allocation for year 2017 was decided in the following way Student branches -1400$ EDC -1000$ AGM -3000$ Get together -2000$ SL section congress/awards night -1000$ Travel grants will be based on the requests subjected to a ceiling due to availability of funds. No adhoc requests could be entertained. The treasurer was requested to prepare a detailed tentative budget indicating expected income and expenditure. ICIAfs conference was a fully sponsored by IEEE Sri Lanka Section. It was reminded that the due share of the profit should come to IEEE SL section.
