Agenda: Item number Notes Decision taken Responsibility 1 Evaluate student branch proposals for fund disbursement. Mr. Dheynoshan informed that funds were disbursed to eight student branches and five remained for disbursement. The Excom selected the following projects for funding: Moratuwa - Enumero Sabaragamuwa - Fortnight meetup USCS - Cloud hack Peradeniya - Wireless W/CISCO, E Waist workshop Dr. Ruwan Suggested to limit the allocations depending on the student numbers of each branch. However, the maximum amount needs to be decided. Mr. Dheynoshan pointed out that NSBM and University of Jaffna Engineering faculty will form new student chapters. Professor Kithsiri suggested to make a guideline for student fund disbursement. The remaining amount of funds allocated to student branches are to be disbursed after evaluating the project proposals. Devise a criterion to disburse the remaining allocation of LKR 180,000 among the selected projects. In worst case scenario set the cap as LKR 200,000. Committee decided to allocate funds to new student chapters (NSBM and Jaffna). Mr. Dheynoshan Mr. Peshan Mr. Pasan 2 Annual get together There were three proposal from University of Moratuwa, University of Ruhuna, and University of Wayamba regarding the event. Ruhuna University proposed ice breaker/ network sessions and “Fly lanterns” event. The chair requested to make a strict guideline when organizing the event. ExCom decided to hold the event Galle and Ruhuna Student Branch will take the lead in organizing. The event will be held on 26 th of August at Ruhuna. Mr. Chandana Dr. Sanath 3 IEEE SL section web Mr. Passan informed that web is hosted on a new web space acquired and need new entry for the domain for the IEEE SL website. Mr. Passan informed that the webpage is made temporarily accessible. Expedite fixing the web page issue Mr. Dheynoshan Mr. Pasan 4 New student chapters Mr. Dheynoshan informed that Rajarata University and North shore University are requesting to form new student chapters. No specific decision is made regarding this Mr. Dheynoshan 5 Visa letter for IAS student members from IEEE SL section The committee decided to issue a letter stating that a loan will be provided to attend the function. And after returning, the students have to repay the total amount. The letter will be only provided if the students make a written request and pledge to repay the loan amount after returning. Mr. Dheynoshan 6 HTC 2018 conference progress Prof. Kithsiri stated that the conference committee needs to be decided. He added that to list down the potential invites, decide the format of the conference (regular papers, web streaming, projects etc.), funding for the conference, and scholarships for participants. Dr. Sanath proposed to bare the lodging and airfare of the keynote speakers by the conference and highlighted the importance of raising funds to meet the expenses The conference date is tentatively fixed and it will be 13,14 th of December 2018. The venue is not decided at the moment. So decided to make the promotional materials with Colombo as the location. Prof. Kithsiri Mrs. Dilrukshi 7 Electronic Design Competition Dr Ruwan Ranaweera will be the moderator for the EDC. Farnel has agreed to sponsor EDC with LKR 50,000/- while Analytical Instrument may sponsor the EDC but the amount is yet to be decided by BOD. The competition will be held on 28th October 2017 and registration will be open from Mid-August to the end of September. Decide the centers for competition after receipt of applications and no decision can be made at the moment Jeevani Dr. Ruwan 8 Inactive IEEE societies of Sri Lanka Decided to send a letter to the inactive society chairs to reactivate it Reactivate inactive societies Dr. Sanath 9 Financial support of SL section As the SS12 is currently in a financial crisis it was decided to allocate LKR 50,000/- for the event Decided to clarify the interaction model Dr. Sanath 10 Registration of IEEE SL section as a company Prof. Kithsiri agreed to look into the mode of registration of IET from Mr Pulleperuma and report its applicability to the SL section at the next ExCom meeting. Awaiting for the response from Prof. Kithsiri Prof. Kithsiri 11 IEEE SL section newsletter First issue for the year is required to be released at the annual get-together Requested to send news items from the SBs, Societies and other entities under SL section Prof. Chandimal Mr. Dheynoshan 12 Senior Membership drive The chair said that he applied for the senior membership of IEEE and requested to promote obtaining SMIEEE as it is good for the section profile and in terms of rebate Those who made a significant contribution to IEEE and completed 10 years from the graduation should apply for SMIEEE ExCom 13 Co-Sponsorship for ICIAfs Dr. Sanjeewa indicated that Rs 25,000/- will be paid by the conference to SL section (mail was circulated among the ExCom) The treasurer was requested to get the account details of the conference and materialize the transaction Dr. Sanjeewa Dr. Rasara 14 Awards at the awards night No objection was raised for the suggested awards, but avid duplications and set a criteria Requested to adopt the same criteria of R10 for the awards if available and craft a criteria and get the concurrence of SL section if such criteria is not available Mr. Yasitha 15 TCS for SKIMA Request was received from the conference Decided to send the usual set of questions to gather about the information and standards on conference Dr. Sanath
