After amendments of the minutes suggested by the chairmen; the last minutes of the ExCom meeting was in order as proposed and confirmed by Prof. Kithsiri and Mr. Dheynoshan respectively. Subsequently the following agenda items were discussed. Item number Notes Decision taken Responsibility 1 Electronic design competition 2017. Registration opens from 26 th August. Deadline for the registration of the electronic design competition will be 22 nd September. Information should be advertised in the IEEE web and facebook page. Dr. Jeevani Mr. Pasan 2 SS12 Competition – review The chairmen pointed out that there are concerns about the process of determining amount of prizes for winners of SS12 as it was solely decided by the organizers without the concurrence of SL section. Further he pointed out the legal issue behind the certificates issued. It was pointed out that there was lack of communication between the section and the organizing committee. Prof. Kithsiri pointed out that if IEEE is taking part in any event, a responsible incumbent committee member of IEEE SL section essentially needs to be in the committee/ panel. The organizers need to inform the IEEE committee in the decisions taken. Chairman pointed out that a set of guidelines needs to be developed and organizers should give an adequate notice to the IEEE rather than sudden adhoc messages. Pass a resolution applicable to any event solely or partially organized by IEEE Sri Lanka Section– The certificate issued for the winners of any event shall carry the signature of the Chair of SL section or his/her nominee. Potential nominees are Chair Elect, Secretary, Treasurer of SL section. Executive committee 3 HTC 2018 conference Prof. Kithsiri and Ms. Dilrukshi informed that the committee for the conference needs to be appointed. It was decided to circulate a google form among the volunteers and select the committee in the next ExCom meeting. Prof. Kithsiri mentioned that call for papers needs to be advertised. Positions of the organizing committee will be filled by open invitation, and volunteering. Ms. Dilrukshi suggested to go to Bangladesh and invite delegates for the next year’s conference in Sri Lanka. Dr. Ruwan pointed out to contact IEEE bodies for funding. Location of the conference needs to be decided and conveyed at the Bangladesh conference. Prof. Kithsiri Ms. Dilrukshi 4 Inactive Societies / Affinity Groups under Sri Lanka Section Prof. Kithsiri proposed to contact the inactive societies and revive the sections. Ms. Dilrukshi and Mr. Dheynoshan agreed to contact and do the needful for the said sections. The chairmen proposed to have two members to work on the matter. Contact the said sections and revive the sections. Send an official letter by the chair of SL section Prof. Kithsiri Dr. Sanath Prof. Chandimal Ms. Dilrukshi Mr. Dheynoshan 5 Any other matter EMBS Student chapter Chairmen pointed out that EMBS student chapter informed that no EMBS society and hence no way of obtaining funds for EMBS student section projects. Mr. Dheynoshan pointed out that since EMBS has no local society, the IEEE SL section can be act as an intermediate body between EMB global society and EMBS student chapter in funds transferring. Prof. Kithsiri stated that problems of student societies first needs to be sorted out by the student committee and every student activity should be directed through student activity committee. Mr. Chandana suggested to start the EMB Society in Sri Lanka. Mr. Peshan suggested to have a guideline on the website to inform the student societies/branches that eight week prior notice is required for evaluating the submitted proposals. TAP Program funding Request of a loan. IEEE annual conference organized by Sri Lanka Section Chairman proposed to organize an annual conference to raise funds to SL section while strengthen the relationships with the industrial sector in Sri Lanka which is essential for the wellbeing of the Sri Lanka Section. Start EMBS Society under Sri Lanka Section. ExCom decided not to support the shortage of the activity organized by EMB student society considering the availability of funds and entertaining such adhoc request will be unfair by the other student societies. ExCom agreed to lend Rs. 50,000/- for the TAP program.
