Vasanthapriyan Dr.Damith Chathuranga Chandana Maduranga Heshani Mahalaksha Peshan Sampath Minutes 6. 1 Welcome and intro from chair 6. 2 Confirmation of the minutes - meeting 5 6. 3 Matters arising from minutes 1, 2, 3 - Since this was a quick meeting , committee agreed to skip these steps and attend the urgent matter but revisit during next exco meeting. 6. 4 Meeting dates and venue set up Next meeting will be on Family get together day 6. 5 IEEE Family Gettogether Since the date need to revisit due to unavailability by some members, committee decided to seek hotels availability on 6th 13th Oct and 20th OCt. Since there is a shortage of budget, Ms Heshani proposed and requested the committee to support in finding suitable sponsors. Ms Heshani will be preparing a proposal and committee requested to reach industry. Committee also requested the planning sub committee members to seek other hotels and menu proposals as well. At some point committee discussed on charging a fee, Mr.Peshan reminded on the fact that last gathering was charged by members a nominal fee. MS Dilrukshi favoured the charging a nominal fee, however, Dr. Dilum, Dr Damitha and Prof. Kithsiri brough broader different view for this stating that IEEE should provide this free of charge as this is a service that we would give to and attract industry since there are no other direct benefits for them. However, sub committee will take decisions based on the availability of funds and resources. 6. 6 University of Kelaniya Conference Financial Sponsorship meeting Dilrukshi introduced the new proposal of Kelaniya University seeking IEEE sponsored conference. Stated the interest of financial sponsorship and seeked committee ideas. Dr. Dilum stated that Financial sponsorship should be more strictly reviewered than technical sponsorship. Prof. Kithsiri suggested Dr. Dilum to provide an overview of extra information needed to grant sponsorship of financial sponsored conference. These information should be updated in the web. Secretary agreed to circulate newly proposed criteria and seek feedback from committee before publishing it in the web.
