1. Welcome by the chair Chandana welcomed the excom and thanked everyone for their participation. 2. Career fair progress Nuwini stated that the 2nd workshop is planned to be held on 31st July with the resource persons from Sysco Labs. The workshop will be on interview facing and mock interviews will also be taking place on the spot. The venue for the workshop would most probably be SLIIT Metro Auditorium, it would be confirmed on the following day, 17th. Chandana asked about the crowd, whether there is an arrangement to get students from SLIIT or any employees from Sysco, to which Nuwini replied that the event will be open to everyone, so there will be no special arrangements to draw the crowd. Nuwini stated that the registration for the next workshop would be open on coming Monday. Also, she stated that, the mails have been sent to the companies for career fair and a call round would be made on the following day.The following companies had confirmed their presence; Paraqum Technologies Dialog Companies, Mobitel and Virtusa are being followed by Yasitha and Nuwini. The following concerns came up from the team; Migara Suggested to contact ATL for sponsorships. Dheynoshan reminded that should have some backup halls on the Career Fair day. Having the event at a university is better because, in case the participation was poor, we can get students from the university itself. UOM will be the best option because, in such a case, we can draw students that belong to several fields. Cubicle sizes should be finalized and the companies will have to use the provided cubicles. Non-IEEE member registration fee should not be less than 5000 LKR. 3. Quiz Competition Progress Migara mentioned that the publicity will be started in the coming week. And the sponsorship packages should be finalized and the proposal should be forwarded for design. He also stated that the proposal will be finalized within this month. It was decided after the ideas of Chandana and Dheynoshan, that the sponsorship packages should be as follows; 500 000 LKR 100 000 LKR 75 000 LKR 50 000 LKR Also it was decided that the venue should be a Hotel. Chandana asked Migara to finalize the Quiz Master and the program. And also he asked Akhila and generally the team to look for some good quiz masters within the universities. Chandana asked Migara to fix a tentative date for the quiz competition within the second week of November. The team was asked to post a general monthly quiz in the YPSL fb page, parallel to the event. LETs Talk Progress Warunika stated that the published event should be shared more. She also said that volunteers have been allocated for the tasks and the program flow is being scripted for compering. Chandana asked Dhammika if the “Zone 24X7” is willing to give a sponsorship, and Dhammika said he would look into that. If they would not, refreshments will be bought from YP money. It was decided to give a piece of cake and an iced coffee for the refreshment. Warunika asked Chandana to check the hosting request sent for the SL section calendar. Chandana said he would look into that. Chandana asked to design two more flyers about the event and Nishika said she is working on the speaker profile. Chandana asked the team to allocate student volunteers separately for Refreshments, photography and 3 for the registration table. And asked Dhammika to follow up the speaker. Chandana asked Rajitha about the status of the funding proposal for LETs Talk and Dheynoshan asked Rajitha not to use the same name for a funding proposal each year because applying by the same name might lead to rejection. It was proposed to mention a common name which gives the meaning Professional Development for YPs. Chandana asked to start the initial planning of the next LETs talk series, immediately after the coming event. 5. Fundraiser Event Progress Chandana said that the budget for Ra Ira Paana from Mr. Bandulas’s side would be around 20Lakhs and for BMICH it would cost around 8.5Lakhs. Tickets income would be around 30 - 32 Lakhs, if all the tickets sell. Due to venue availability and other concerns, October 12th will be the date for “Ra Ira Paana”. Chandana said that, the main concern for the moment is to find sponsorships. And tickets will be out next month. My tickets.lk would absorb 7-10% commission from the tickets sold by them and they would also do a social media campaign for the tickets. Dheynoshan asked whether there is any way to reduce the commission absorbed by tickets.lk, and Chandana said Mr. Bandula has some contacts with tickets.lk and that he is trying to work it out. Dheynoshan suggested that we should call for a new set of volunteers for the “Ra Ira Paana”. Chandana said that with the time being, that will be difficult. Dheynoshan said that we should have an agreement with Mr. Bandula stating all the conditions and amounts we negotiate for. Other Chandana thanked Akhila, Dheynoshan and Chanaka for working on the website. Chandana said that, if we are going to get the local benefits from Sampath bank, we will have to add another position to the YP ex-com for membership management.
