Discussion The first task of the meeting was to get the previous meeting minutes approved. Dhammika Marasinghe proposed that the meeting minutes for the months of April and May are in order, and Dr. Akila Wijethunga and Sewwandie Nanayakkara seconded them. Collaborations with chapters YP will act as the main collaboration point for all the chapters, special interest groups, etc. so that the communication and collaboration for events and operations carried out by all the units can be facilitated. Lakshan Madhushanka from IEEE SIGHT Sri Lanka briefed about the two main projects that they are planning to work on during the current term - STEM project which is decided to be carried out as a collaborative project and the technology-humanitarian project. A document related to the projects and related activities will be shared with the YP excom in due time. Further to this, he raised the necessity of discussing the branding strategies for the collaborative project. And the possibility for collaboration with the industry relations and related sessions in the Volunteering 101 training series. The possibility of collaborations within national projects was discussed with the representatives from the Student Activities committee - Chamika Sudusinghe and Vidura Dhananjaya. Another point of discussion was whether to have the IEEE Sri Lanka Section awards night separately (tentatively during the third week of September) without having it on the last day of the SYW Congress. Status and updates related to the teams Shakyani Jayasiriwardene presented the current status and the work that they are doing in the Volunteer Engagement Management team. The team is currently working on finalizing the PDP template. It was suggested that the “Next Step” project be executed by mid August so that the timeline can be aligned with the SYW Congress. Sewwandie Nanayakkara presented the updates on Volunteer Training and Development teams. The team was planning the Volunteering 101 training series and is currently working with the Volunteer Engagement Management team on finalizing the PDP. Their plan is to have a project chairs’ meeting to make them aware of the training series and the PDP before proceeding with the first session of Volunteering 101. A suggestion was given by Dhammika Marasinghe to check the availability of a time slot in IEEE Boost to make an announcement on the Volunteer 101 training series and the PDP so that all the volunteers will be aware of them. After a surface level review of the content available in the PDP, it was decided to scale it down by getting certain points out and providing a much easier approach for the volunteers to fill in the PDP without spending considerable time on it. An update on the Membership Experience team was presented by Awishka Thuduwage. The team is planning to initiate their work starting in July due to the unavailability of the members because of examinations. Access to IEEE member details files was requested from Chamika Sudusinghe to proceed with data analysis. The update of the volunteer opportunities and benefits team was given by Chamodhi Withana Gamage. The team is planning to have a discussion with StudPro in order to proceed with the remaining tasks. Dasun Herath was asked to assign the maintenance of the list of volunteers who are engaged at the regional and global level to either the Marcom or Member Opportunities and Benefits team. Manodya Nabadawewa presented the update from the Partnership team. They are waiting for feedback from IFS regarding the proposal. and planning to work on the SLASSCOM proposal. Industry Engagement related tasks are on hold for the moment as the focus is currently on getting the partnership proposals approved.
