IEEE YOUNG PROFESSIONALS SRI LANKA - MONTHLY EXCOM MEETING 2022 - JULY

Discussion Discussions with the SL Section Excom Updates on the participation of R10 Congress and the funding opportunities were given by Dhammika Marasinghe. A discussion should be initiated with Prof. Pradeep Abeygunawadhana regarding streamlining the YPSL projects related to the education domain and obtaining the collaboration/ partnership of an entity such as ICTA. Updates on the SYW Congress An update on the SYW Congress, the venue, and the CS SYP Congress that will be held in parallel. A discussion also took place regarding the quota that will be allocated for YPSL volunteers as delegates for the SYW Congress. YPSL Bank Account Most of the work related to getting the back account transferred has been completed. After the general update from Dhammika Marasinghe, the previous minute was approved. Sewwandie Nanayakkara proposed that the minutes are in order and Mithushan Jalangan seconded it. Next, the team updates were taken. First, the update was given by Chamodhi Withanagamage from the Member Benefits & Opportunities team. After the discussions with the StudPro team, the two parties have agreed on the following tracks for the mentoring session: Software engineering, Telecommunication engineering, Electronic engineering and Electrical engineering. The discussion is going on regarding the selection of mentors. It was agreed that the mentors/ resource persons could be taken from among the YPSL volunteer community, as the YP volunteers will be mentored in the initial phase. It was decided to discuss this further at the meeting arranged for July 18th, 2022. The update from the Volunteer Training and Development team was presented by Sewwandie Nanayakkara. It was mentioned that two sessions from the Volunteering 101 series were completed and the upcoming session on secretariat skills will be held on July 24th, 2022. The request made to LSEG regarding a session on partnership proposals is still not confirmed. However, due to the time constraints of the session, it has been decided to run the finance and IR/partnership as two separate segments on two different days. An update from the finance team was presented by Ashan Bandara. The financial policy documentation has been shared with the Excom via email. As no response has been received from Excom members, the financial policy documentation was revisited. It was decided to take one more week to evaluate the document within the YPSL excom and proceed with sharing it with the project chairs. It was suggested that the Excom make it a practice to respond to the emails that are circulated within the group. A per volunteer quota of LKR 1500.00 has been decided to be allocated for all the YPSL volunteers. Manodya Nabadawewa presented the partnership team update. He discussed the activities they have done so far, such as working on the partnership with Hatch, IFS, SLASSCOM, SLT, and ISC2, and the pending activities they are currently working on. They are planning to work on the Industry Engagement Network by getting the required information from the Sri Lanka section before the next Excom meeting. The update of the MarCom team wash presented by Dilini Ekanayake. The team is working on the articles for the news letter and deciding on the delivery method for the newsletter. It was suggested to use Hubspot as the delivery method, as the service is to be used for YPSL as well, and considering the overall benefits, It was also suggested to publish project articles on a blogging platform. They are also planning on publishing a monthly calendar containing all the planned events with the partners and target audiences. It was decided create a common place/ spreadsheet where all the event details collected through program management team and the Marcom team will be available. The program team update was given by Dasun Herath. They are planning to update events in VTools after finalizing the project tracker and getting the details from the projects. The guidelines document is created and requires a few updates, which will be completed within the week. After the team updates, a mid year retrospective was done with the Excom members and their suggestions and comments on the way forward were discussed.
