IEEE STUDENT BRANCH OF SLTC – MAY MEETING SUMMARY

Description
The meeting's primary purpose was to transfer knowledge among the elected Round Table and gather updates from each OU, including the conclusions of already concluded events and the status of upcoming projects. The weekly updates of chapters and affinity groups kicked off with IES updating everyone on their new project's progress. They had successfully reached out to sponsors and held meetings with resource personnel. The project structure involved two online workshops followed by a physical exhibition, and possible venues for the physical exhibition were also discussed. They were currently ironing out the timeline, aiming for a four-week gap between workshops and the exhibition to accommodate participants. Next, IAS shared updates on their ongoing project, InnovMind. Possibilities for collaboration with other SBs and partnerships were discussed, followed by the project's procedural aspects. Preparations for school sessions had begun, with multiple schools being approached and academic calendars checked to ensure suitable dates. Workshops were planned for weekends, but there was a suggestion to conduct them on regular school days. A field visit to Nikini was in the planning stage, with time slots being finalized. The collaboration project with SLIIT was on hold due to exams, with further discussions planned post-exams. Sponsor outreach was scheduled to start on May 27, registrations to open on May 31, and the first webinar scheduled for June 10, 2024. The Computer Society (CS) student branch chapter conducted a cybersecurity webinar on May 16. The Docker event was completed on the same day, and feedback was discussed. The preparation of vTools for submission was underway. Discussions about aligning CodeMania v.5.0 with IEEEXtreme took place, with suggestions to hold the event in October. There was an interest in making CodegeniX an inter-university competition, possibly online during the vacation, and dates were being considered. Certificates for the winners of Codemania V4.0 had been signed, and the final budget report was to be submitted soon. CS then provided updates on wrapping up Codemania officially, including the submission of all necessary reports and documents. The WIE student branch affinity group had been planning, a small picnic to engage its volunteers. Updates on the Altium Project were provided, and the event dates were being finalized. The TechnoVenus Project, which revolved around Arduino sessions for school students, had to be postponed due to issues with SLTC LEO. The WIE Logo was being redesigned, and changes had been discussed. Uditha was selected as the coordinator for WIE ODYSSEY, organized by the IEEE WIE SL Section. The chapter was preparing to apply for R10 awards and designing the logo for the Altium Workshop. Concerns about the website link were also raised during the meeting. The Student Branch (SB) had scheduled an Open Day for May 30-31, and discussions were held on whether to proceed with it or let the next Excom handle it. The new RT members for the year 24/25 were finalized following interviews and extensive discussions. A subcommittee form had been prepared and would be shared soon. A year-end review had been shared among IEEE Excoms. The proposals for InnovMind and SLEC were signed, and the review and signature collection process for ZIYECTRO was ongoing. Two vTools had been submitted for the Docker event and the April meeting summary. The final budget report of IEEE SPARK VI had been submitted, and certificates for GISLA 2024 winners were to be issued soon. An awareness session for the 10th batch about subcommittees was planned for May 25. Finally, updates and progress on the work of the SB were reviewed. Additionally, the application process and the required documents for the Student Branch award were thoroughly discussed, concluding the meeting.
