1. Call to Order The meeting commenced at 7:30 PM on the Google Meet platform. The focus was discussing the IEEE CS Chapter funds and how to utilize them effectively for student chapter projects. Discussions also included possible projects for the term, usage of Chapter mail and Google Drive, and exploring IEEE vTools for planning and reporting. 2. IEEE vTools Walkthrough Presenter: Mr. Lakshan Madhushanka (Chapter Advisor) Discussion: Mr. Lakshan provided an informative walkthrough of the IEEE vTools website, emphasizing its use for the eƯective planning and reporting of chapter activities. 3. Startup Fund Application Discussion: The Chairperson, Lavindu Perera, stated that the chapter had successfully applied for a startup fund of $150. Decision: The committee collectively agreed to allocate the startup fund towards the current project, Japura Xtreme 1.0 4. Increase Diversity & Inclusion in Computing Fund Discussion: The committee discussed the Increase Diversity & Inclusion in Computing Fund, with a potential grant of $5,000–$15,000. Mr. Lakshan Madhushanka proposed organizing a 3-day residential summer school for school students and teachers at a hotel. The summer school would focus on programs to foster interest in STEAM (Science, Technology, Engineering, Arts, Mathematics) education. Decision: The committee agreed to proceed with the summer school project proposal. 5. Chapter Mail and Google Drive Usage Discussion: The committee discussed organizing the Chapter’s Google Drive and oƯicial Gmail for various tasks such as proposal writing and event handling. Clear planning was outlined for effective file management. 6. Proposal Writing for Funding Discussion: The committee distributed the tasks for writing the Increase Diversity & Inclusion in Computing Fund proposal. Members without upcoming exams agreed to collaborate on the proposal. 7. Future Meetings Discussion: The committee agreed to hold future meetings on the Wednesday of the third week of each month. 8. Adjournment The meeting concluded successfully at 8:30 PM.
