Minutes of the Executive Committee Meeting Minutes of the Executive Committee Meeting Date: 2nd December 2024 Time: 8:30 PM – 9:30 PM Venue: Virtual Meeting Chairperson: Lavindu Perera Secretary: Sandaru Senitha Wickramasinghe Attendance: Mr. Lakshan Madushanka Lavindu Perera Sandaru Senitha Wickramasinghe Sheron Deeshan Manuja Wimalarathne Vidusahan Perera Rsuwan Kalhara Agenda Items Discussed Financial Report and AGM The financial report will be completed and submitted by the end of the year, ahead of the AGM. The AGM is tentatively scheduled for the third week of December. STEAM Project and Try-Engineering The STEAM project will now be integrated with Try-Engineering funding. Instead of a 3-day residential camp, the program will be conducted at schools or the university campus. Japura Xtreme Event Identified a lack of a question pool for Japura Xtreme. Plans to contact IEEE Region 10 and IEEE Global for support in creating a question pool with assistance from the IEEE Xtreme teams. Future Plans and Workshops Python Workshop Series: Planned to commence in January, in collaboration with the Mathematics Department. Industry-focused with certification offered at the conclusion. Organising committees will be formed, and standing committees will guide the initiative. Standing Committees: To be established in January to oversee projects. Two main projects under the committees: Team building project. Cloud workshop series. Initial sessions (January-March) will be conducted online, shifting to physical or hybrid from April onwards. Collaboration and Outreach GDG and AWS Groups: Sheron Deeshan will handle outreach, with AWS engagement planned at their community meet-up. Microsoft Azure: Lakshan Madushanka is exploring collaboration opportunities with Microsoft. Other Discussions Workshop collaboration ideas with external partners and the Mathematics Department were discussed. Tri-engineering project ideas were refined to align with the Try-Engineering program. Strategies for better finance document handling, voucher creation, and audit preparation were deliberated. Decisions Taken: Submit the financial report before the AGM in December. Modify the STEAM project to fit Try-Engineering funding. Initiate the Python Workshop in January with Mathematics Department collaboration and industry focus. Establish standing committees in January for project oversight. Develop a question pool for Japura Xtreme with IEEE Region 10 and Global support. Adjournment: The meeting was adjourned at 9:30 PM.
