Executive Committee Meeting - 02/04/2025 Date: April 02, 2025 Time: 09:00 PM – 09:45 PM Location: Google Meet Attendees: Haritha Madanayake Heshani Maddage Chamod Perera Dheeshana Alagiyawanna Thevindu Dilmith Menura Basitha Sahan Samuditha Sandaru Wickramasinghe Thesara Wickramasinghe Meeting Proceedings: Weekly Executive Committee Meetings: A discussion was held regarding the regular scheduling of EXCOM meetings. It was proposed and agreed that all chapter chairs will be included in future meetings to enhance communication and coordination. The specific day and time for weekly meetings will be finalized based on members’ availability. IEEE Promotional Programme: The committee discussed launching a promotional campaign to raise awareness about IEEE among university students. The campaign will include short videos, informative flyers, and social media content showcasing the benefits of IEEE membership and upcoming opportunities. Content creation responsibilities will be assigned in the upcoming week. J’Pura Expedition: An update was provided on the J’Pura Expedition. The organizing team is in the process of finalizing the speaker lineup. Possible event themes and logistics were discussed. Chapter chairs were encouraged to assist in promoting the event and supporting organizational efforts. MGA SAC Award Submissions: The team reviewed recent submissions for the MGA SAC awards. Members acknowledged the efforts put into compiling the documents and expressed hope for a favorable outcome. Suggestions were shared for improving future submissions. Insight Wave – Progress Review: Progress on the Insight Wave session series was discussed. Topics and speaker suggestions for upcoming sessions were shared. The organizing committee was advised to continue promotions, confirm speakers early, and ensure that all technical aspects are well-coordinated. Decisions Made: Weekly EXCOM meetings will include chapter chairs for improved coordination. An IEEE promotional campaign will be launched using digital platforms. Chapters will actively support the J’Pura Expedition, especially in speaker coordination. Members will monitor MGA SAC award outcomes and focus on future enhancements.
