Commencement of the meeting The fifth Executive Committee Meeting of the IEEE Women in Engineering Affinity Group of Sri Lanka for 2025 commenced at 9.06 PM. Preliminaries and Announcements by Chair Dr. Prabhani Liyanage, Chair of the IEEE Women in Engineering Affinity Group of Sri Lanka, welcomed the attendees. Confirmation of Minutes of the Previous Meeting The minutes of the third and fourth Executive Committee Meetings for 2025 were circulated by the Secretary, Ms. Hiruni, prior to the meeting. After making certain amendments, Ms. Shashika Lokuliyana proposed that the minutes of the third meeting were in order, which was seconded by Dr. Nirthika Rajendran. Ms. Abarnah Kirupananda proposed that the minutes of the fourth meeting were in order, which was seconded by Ms. Shashika Lokuliyana. Project Updates Code With WIE Ms. Abarnah provided an update on Code with WIE, including the launch date, registration process, and awareness session. She also mentioned that a WhatsApp group was created for participants and that the sponsorship document was finalised. Dr. Prabhani and Ms. Abarnah discussed the logistics of the upcoming awareness session and the need for a Zoom link. Global Glow Dr. Nirthika provided an update on the Global Glow event, including the initial meeting, suggested date, and tentative agenda. There was a suggestion to merge Global Glow and International WIE Day into one event, however it was decided that having them as two separate events would be the better option. International WIE Day Celebrations The Committee members discussed potential venues for the International WIE Day event and the need to book speakers in advance. Ms. Hiruni informed that she will speak to her contact at Dialog and see if there was a possibility of hosting the event at their premises. Power Hour Ms. Hiruni provided an update on the Power Hour session, including the speaker she was planning to approach for the first session, and the potential venue. She also informed that she will be looking into potential funding opportunities in the future. vTools Event Reporting Dr. Prabhani asked Ms. Hiruni to report all Affinity Group events that have taken place in vTools. Ms. Hiruni mentioned that she is keeping track of event reports in a Google sheet and will be coordinating with project chairs regarding event reporting. Awards, Grants and Sponsorships The Committee Members discussed various grant and award applications, including the IEEE Foundation grant, IEEE R10 WIE Outstanding Section Affinity Group Award, and YP grants. Discussion about Volunteer Engagement Dr. Prabhani asked for an update on the volunteer training session, and Ms. Hiruni mentioned that she will be coordinating with Gayashani regarding it. Dr. Prabhani suggested having the session in June or July. Financial Updates Ms. Shashika provided a financial update, mentioning the need to follow up on a budget request from the IEEE WIE Student Branch Affinity Group of University of Peradeniya for the WiSTEM session they hosted. Any Other Matters The next Executive Committee meeting was scheduled for June 14th. Adjournment of the Meeting The meeting was adjourned at 10.13 PM.
