IEEE STUDENT BRANCH OF SLTC – JUNE 2025 MEETING SUMMARY

Description
The June meeting focused on knowledge transfer between the outgoing 2024/2025 executive committee and the incoming 2025/2026 leadership team. The meetings covered updates on ongoing projects, planning for upcoming events, and establishing new organizational structures. The Chair welcomed all members and started the knowledge transfer process. The Computer Society (CS) Student Branch Chapter presented updates on their project "Cloudspace," showing progress in venue exploration and proposal finalization. However, they faced challenges in securing sponsorships and obtaining necessary funding. An AWS Community speaker is being considered for the event. The team reviewed the main project structure and budget. Cloudspace is planned as a three-day event for the second or third week of July. Venue permission processes are underway, with planning including budget allocation, location confirmation, guest speaker arrangements, and event activities. Student Branch (SB) updates showed continued progress on the Cloudspace project proposal review. Banking matters for Codemania v5.0 were discussed, with advance payments already processed. Previous funding issues for Codemania V5.0 have been resolved, allowing the project to proceed as planned. The Industrial Electronics Society (IES) reported advancement in their SL Arduino Challenge 2025. The team scheduled an awareness session with confirmed speakers including a guest speaker. They addressed venue confirmation challenges and implemented scheduling to avoid conflicts with other events. Design work delays that affected both the Arduino Challenge and SolidX were resolved by assigning separate designers to each project. The Industry Applications Society (IAS) made progress on their project SolidX event and finalized their executive committee structure. The SolidX project underwent schedule adjustments and will run in two sessions. Due to lab space limitations, participants will be divided into two groups. Company meetings are scheduled to discuss event logistics. Flyer design and organizing committee confirmations are in progress. The Women in Engineering (WIE) SBAG shared preparations for the upcoming WIE Day celebration. Design and promotion discussions revealed the need to recruit additional team members to strengthen the designing capabilities. They suggested reopening registrations for a single day to accommodate increased interest. The WIE group reported ongoing collaboration discussions with Region 8, with additional meetings planned to finalize joint initiatives. The team made steady progress on WIE Day preparations, including ongoing proposal signing processes, while awaiting responses from Region 8 regarding collaboration opportunities. The new Executive Committee for the 2025/2026 term was welcomed. The Chair emphasized the importance of collaborative work during the transition period and outlined the knowledge transfer process requirements. Executive Committee positions for the Student Branch and WIE Chapter were confirmed, while final decisions for CS, IES, and IAS chapters are still pending. Financial reporting showed pending items including the Silicon Pulse budget and T-shirt reports. The Treasurer reported completion of bank book documentation and all related financial records. Website development progressed with team decisions regarding page structure. The team is deciding whether to have separate pages or one full site. Website development continued for the Cloudspace project, though venue availability remains a challenge. Official partnership confirmations are still pending. AGM preparation updates were provided throughout the meetings. The Executive Committee confirmed completion of the AGM workplan and budget, with proposal development still in progress. Board credential transfers are underway, and a physical RT meeting will be organized to finalize AGM arrangements. Subcommittee selections progressed with scheduled meetings upon completion. Minor issues concerning the design team were also addressed. IEEEXtreme 18.0 preparations from SLTC were addressed, including proctoring arrangements and administrative task coordination. The teams are being prepared for the event with planning for various administrative tasks. Student Branch (SB) updates confirmed proposal approvals for both Cloudspace and Arduino projects, with active vTools entries updates, particularly for upcoming awareness sessions. The Computer Society continued venue discussions for Cloudspace, with ongoing efforts to secure appropriate lecture hall facilities. The month concluded with knowledge transfer implementation, project advancement across all organizational units, and established foundations for continued operations under the new leadership structure. The transition period showed the organization's ability to maintain project execution standards while adapting to new leadership.
