The Executive Committee of the IEEE Computer Society Student Branch Chapter of Wayamba University of Sri Lanka convened a physical meeting to discuss detailed planning and coordination for the upcoming Innova and TechX 2025 events. Key discussion points included: Event Structure & Finance: Overview of the full event structure and financial planning, including proposed cash prize tiers and ongoing sponsorship efforts. Organizing Committee (OC): Roles and responsibilities for Innova and TechX OCs reviewed and clarified. Marketing & Media: A promotional video marketing was proposed. Media efforts will focus on SDGs, with defined roles: 2 video editors, 1 caption writer. Items in progress include flyers, certificates, agenda, and backdrops. Header layout structure and promotion lifecycle discussed. Final Event Planning: Cultural components (oil lamp ceremony, traditional dance) and guest logistics planned. Career-centered segments include CV review and internship access via the NANO mentoring track. Speaker Malinda Alahakoon to be approached for a keynote. Post-Event Activities: Options such as a bonfire night, DJ gathering, and Pepsi as the proposed beverage partner were considered.
