Algo Ace 2.0 – 1st Organizing Committee Meeting Minutes Date: 22nd of April 2026 Time: 9.00PM Venue: Virtual Chairperson: Rusira Sandul Secretary: Chethana Perera Project Chairperson: Kemitha Krishmanthi Attendance Rusira Sandul Chethana Perera Nethmi Tharushika Chethiya Samaradiwakara Dinithi Liyanage Chandupa Alagiyawanna Kemitha Krishmanthi Organizing Committee Members Opening & Introductions The Chairperson welcomed all members and congratulated the newly selected Organizing Committee. A brief introduction of the Executive Committee and their roles was conducted. All OC members then introduced themselves. Project Overview – “What is Algo Ace?” The Chairperson presented a full overview of Algo Ace 2.0, including: The purpose and vision of the project Main objectives Target audience (exclusive for Japura students) How Algo Ace develops competitive programming skills Key improvements compared to previous years Project Timeline The project timeline was presented and reviewed. The first session is scheduled for the 28th April. Expected flow, preparations, and deadlines for each component were highlighted. Event Structure & Flow Discussion included: Detailed session flow Responsibilities for each session Required preparatory work before the 28th Plan to include 4 quizzes throughout the series Decision to conduct quizzes through HackerRank Society Ambassador Pitching Plan to pitch the project to society ambassadors to strengthen event reach. Ambassadors will help promote sessions and guide participants. Knowledge Partnership Proposal It was decided to create a Knowledge Partnership Proposal to approach potential partners. Responsibilities for drafting and reviewing the proposal were assigned. Delegates & Registration Handling A registration form will be created for participants. Delegate handling procedures were discussed, including communication, reminders, and attendance records. A feedback form will be designed for every session to collect participant insights. Design & Marketing Discussions The Design & Marketing division was briefed on: Required flyers for upcoming sessions Immediate design timelines Need to draft a comprehensive marketing plan Including video content as part of the new marketing strategy Marketing content will be shared in advance for approval. Hackathon & Quiz Planning Algo Ace 2.0 will include four quizzes leading up to the final challenge. All quizzes will be executed via HackerRank for fairness and standardization. Planning for quiz content and evaluation criteria was initiated. Action Items Prepare and distribute registration and feedback forms. Complete Knowledge Partnership Proposal draft. Finalize and share flyers for the first session. Start working on marketing plan and video content. Confirm HackerRank setup and quiz timeline. Begin ambassador pitching process. Meeting Adjourned.
