All the ongoing projects of the Student Branch and the Chapters were discussed. 1. IEEE Student Branch (Main) J'Pura Expedition 3.0 (Physical Event) • Financials: Target budget is 200,000 LKR. Currently raised 50,000 LKR from Omega Line (Pvt) Ltd. A gift partner has also been confirmed. Preparing for physical sponsor hunting. • Progress: Marketing plan (inspired by a popular series) is created; currently brainstorming to expand marketing efforts and increase delegate numbers. The first video and one speaker flyer are completed. Started designing the backdrop, PPT templates, and OC tags. Finalizing event decorations. Created a preliminary agenda for the final day, which includes an entertainment item performed by the Flair Club. • Outreach: Utilizing the ambassador network to recruit more delegates. 2. Computer Society (CS) Chapter J’Pura Extreme 3.0 (Future Physical Event) • Date: Postponed to September 26th (the previous date clashed with a government congress). • Financials: Target budget is 440,000 LKR. Currently raised 0 LKR. Finalized the proposal and started company pitching. Designing merchandise packages. • Progress: Introduced a new Co-Chair, Roshen, who will work alongside Vinal. Finalized the theme: "Phoenix - Reborn". A "Coming Soon" campaign will be shared along with an intro video. • Outreach: Expanding the network with ambassadors from other universities and reaching out to contacts to build the school network. Algo Ace 2.0 (Ongoing Online Project) • Progress: Planned 4 sessions and 4 mini hackathons. Successfully completed 2 sessions and 1 mini hackathon. Currently in the stage of designing and reviewing badge designs for delegates. Gathering feedback from delegates and releasing a marketing video from the second hackathon. • Upcoming: The next mini hackathon is scheduled for June 20th. Beauty of Cloud 2.0 (Hybrid: Online & Physical) • Financials: Currently raised 20,000 LKR. Negotiating with SFS Academy for the Title Sponsorship, though a partnership is already confirmed. • Progress: Successfully completed 2 online sessions and 2 physical sessions with a total of 1000+ participants. Shot 2 marketing videos (currently in editing). The delegate booklet is designed and completed. The project website is up and running. • Upcoming: 1 online session and 1 physical session remaining. An Idea Hackathon will be held physically on the final day. • Outreach: Looking into the ambassador network to bring in more delegates. Industry 200 • Financials: 50,000 LKR allocated from chapter funds. • Progress: The flyer for OC recruitment is out, and applications are being processed. The logo has been finalized. Marketing plans and script development are in progress. Intro videos and posts will be released after OC calls are completed. • Upcoming: Planning to launch a series next week. 3. IES Chapter Tech Thrive • Financials: Secured 2 grants. Will commence formal sponsorship pitching after the academic exams. • Progress: Started OC calls and conducting interviews. 4. ComSoc Chapter Net IOT (Physical Event) • Date: Final event scheduled for August 30th. • Financials: Event budget is set at 15,000 LKR. Raising funds through T-shirt sales; currently raised 14,000 LKR and planning to raise up to 30,000 LKR. Released the 1st edition of the IEEE ComSoc tee. • Progress: Completed 5 physical sessions with 150+ participants. Completed their 1st awareness session. Delegate registration form is now closed with 60+ teams and 200+ participants from various universities registered. The logistics team is currently finding and finalizing a judge panel for the final event. 5. PES Chapter NExora 1.0 • Overview: A power and energy-related series inviting alumni to speak. • Financials: The finance team will start company pitching once the OC is finalized. A gift partner is confirmed. • Progress: OC calls have started, and the OC will be finalized within the next week. Completed the event structure and secured a backup speaker from FOT. • Upcoming: Sessions are scheduled for next month. • Challenges: Facing workload stress because members from FOE and FOT currently have academic exams. 6. EMBS Chapter BioByte 2.0 • Financials: Planning to collect 1,000 LKR from each participant, similar to the previous iteration. • Progress: The OC has been finalized. Flyer theme and logo are completed. • Upcoming: The 1st session is scheduled for June 29th. Expanding the event to more universities with a target of 800+ participants. Currently looking to secure a Zoom link to host the session series.
