Annual General Meeting (2012) IEEE Sri Lanka Section, Venue: Room 502, Sri Lanka Institute of Information Technology (SLIIT), Malabe Date: 15th March 2012 Time: 18.00 hrs Agenda: 1. Introduction 2. Confirm the minutes of the Annual general Meeting held on 20th March 2011. 3. Table the report of the Executive Committee 2011. 4. Table the statement of accounts (January 2011 to December 2011) 5. Elect office bearers and executive committee 2012. 6. Any other business. 7. Plan for 2012 – President (2012) 8. Vote of thanks – Secretary (2012) 9. Fellowship and dinner. The meeting was chaired by Dr Rohan Munasinghe (Section Chair) and, reported by Dr. Mahen Jayawardena.   1. The secretary, IEEE Sri Lanka Section (2011) Dr. Mahen Jayawardena presented some important facts on IEEE and the IEEE Sri Lanka Section. 2. The Secretary, IEEE Sri Lanka Section (2011) Dr. Mahen Jayawardena presented the minutes of the AGM 2011 held on 20th of March, 2011 at Waters Edge, Battaramulla from 6:30pm onwards. The minutes were duly confirmed. 3. The Chairman, IEEE Sri Lanka Section (2011) Dr. Rohan Munasinghe presented the Annual Report of the Executive committee for the year 2011. In his presentation he talked about four major IEEE Meetings that were attended by delegates from Sri Lanka, three major IEEE meetings and symposia held in Sri Lanka, four major IEEE Sub units created during the year, three conferences for which IEEE Sri Lanka Section offered technical co-sponsorship, and the financial support for the sub units and special events in addition to other planned activities. 4. The Treasurer, IEEE Sri Lanka Section (2011) Dr. Ruwan Ranaweera tabled the final accounts for the period 1st January 2011 to 31st December 2011, which were also duly confirmed. 5. Since the Convener for election of 2012, Dr. S.G.Abeyratne was excused due to unavoidable circumstances, Mrs. Indrani Hissella was appointed as the acting convener to carry out the election of new office bearers. The five nominations received by the convener were unanimously elected to the respective posts as there were no other nominations for those offices during the meeting. The nominations received were for Chairman, Asst. Chair, Secretary, Asst. Secretary, and Student Counsellor. The rest of the offices were duly elected by the members present. i. Committee Members Mr. K Balakrishnasarma Mr. Kosala Udugahapattuwa Ms. IndraniMenike Hissalle Dr. Anuja Dharmaratne Mr. Asanga Wickramarachchi The meeting continued with Dr. Lakshman Jayaratne as the new Chairman and was reported by Dr. Ruwan Ranaweera as the new Secretary of IEEE Sri Lanka Section. 6. Under Any other matters, the new Secretary Dr. Ruwan Ranaweera presented some changes in IEEE policies regarding the formation of new chapters and subunits and contribution to IEEE reserves from geographic units. He also briefed the meeting about the two candidates running for the office of IEEE President Elect 2013 and requested the members to participate in the election process. Secretary informed the members of the possible change of office structure to replace the vice chair position with a chairman-elect position. The members requested to bring this issue in a separate special general meeting. 7. The new chairman Dr. Lakshman Jayaratne presented his plan for the year 2012. He stressed the need for membership promotion and retention, expansion of ICT in rural areas, IEEE marketing, research and development, as well as increased professional development activities during the coming year. 8. Many members including Mr. Hasala Dharmawardhena, Prof. Gihan Dias, Mr. Randeniya, Mr. Lakmal, Mr. Pasan Pethiyagoda (Student representative-observer), Mr. Thirimanna (Student representative – observer), Dr. Lasantha Senevirathna, Dr. Vijitha Herath, and Dr. Harsha Abeykoon made comments and suggestions regarding how to improve and better cater the membership of IEEE Sri Lanka Section. Prof. Gihan Dias pointed out the importance of auditing the accounts and also the option of allowing student members to attend the AGM as observers without the voting rights. It was also proposed and agreed that the next AGM be held before 31st of December 2012 in line with the policy of IEEE. 9. The new Secretary Dr. Ruwan Ranaweera delivered the vote of thanks. Since there were no other matters, the meeting was adjourned at 9pm. The meeting was followed by the fellowship and dinner.
